Registration Categories
Name badges are required for admission to all events and the exhibit hall.
Full Registration-3 day: Admittance to all session listed on the schedule, the exhibit hall and the exhibit hall reception, networking events and the on-line conference proceedings. This package also includes a lunch voucher for all three days in exhibit hall.
One Day Registration: Admittance to all events listed on the schedule for chosen day (unless otherwise noted), the exhibit hall and meal functions on that day only (Monday, Tuesday or Wednesday)
Exhibit Booth Personnel: Admittance to the exhibit hall, lunch in the exhibit hall each day (Monday – Wednesday) and the opening session.
Expo Only: Admittance to the exhibit hall only.
Full-Time Student: Admittance to all sessions and the exhibit hall only. Lunch ticket is also included for each day (Monday – Wednesday). Special event tickets may be purchased separately on site at the registration desk.
Accompany Persons: Admittance to Monday’s opening session and the exhibit hall. This space is intended for spouses, companions, and other non-participating persons. Colleagues and peers are not considered accompanying persons and must purchase a different registration package.
Media: Complimentary registrations are available for working trade, business, and consumer reporters, as well as freelance writers who work in the transportation or business fields. Those requesting complimentary press registration must be currently employed by an established news outlet:
- Trade and Business Publications/Newspaper and Wire Services
- Broadcast TV/Radio Reporters, Producers and Camera/Sound Crews
- Freelance Writers/Reporters/Authors (must present an original letter of assignment or a copy of your contract onsite from the editor-in-chief at a news organization)
- Bloggers
Note to Freelancers and Bloggers: Prior to approving requests, the following information will be requested:
- Freelancers - Copy of or an Internet link to a published industry-related article from the last six months (must have name in byline); or a current press photo ID.
- Bloggers - A link to an industry-related blog entry posted within the past six months with your name in the byline.

. Upon approval, all press registrants will receive a confirmation of their status via e-mail.
Members of Congress and Congressional Staff: Admittance to all sessions, the exhibit hall, and Monday’s opening session. This package requires valid identification when picking up conference credentials.
CANCELLATION POLICY
Conference registration cancellations and refund request must be submitted in writing. If payment is by credit card, a refund will be issued to your card. A full refund will be issued for cancellation request received by Friday, March 23, 2012. Request received from March 24 through April 13 are subject to a $175 processing fee and a $75 processing for exhibitor booth personnel. No refunds will be honored after Friday, April 13. The processing fee covers obligations incurred by ITS America and does not entitle the registration to conference materials.
Tours: Cancellation request received by May 1, 2012 will receive a full refund without penalty. After that date, refunds will not be issued.
SUBSTITUTION POLICY
Substitution within the same organization for the same registration fee may be made by email, fax or mail through Friday, May 4, 2012. After that date all changes must be made on site.
PRE CONFERENCE WORKSHOPS AND TOURS
Tickets for pre-conference workshops or Washington Corridor Tours will be included in your registration packet.
TICKETS FOR MEAL FUNCTIONS
Tickets are required for all meal functions and are included in your registration packet. Please check to make sure they are in order. If your registration packet does not contain tickets, please check in at the appropriate registration desk at the convention center. Extra tickets are sold on a first-come, first-served basis and are non-transferable and non-refundable. Tickets may be purchased at the registration desk until noon the day of the event.
SPECIAL DIETARY REQUIREMENTS
If you have special dietary requirements, please complete a special dietary requirement form at the registration desk until noon the day before the meal function. We will make every attempt to accommodate your needs. Please remind your server that you have ordered a special meal and the specific requirements requested.
BOARDING FOR WASHINGTON CORRIDOR TOURS
Buses board at the front entrance of the Gaylord Convention Center. Please arrive 15 minutes prior to the time listed on the schedule. Although we are required to guarantee in advance the number of attendees for each tour, tickets may still be available. Please check at the tickets desk in the registration area. We will do our best to accommodate you.
SMOKING
The Gaylord National Resort and Convention Center is a non-smoking facility. To preserve the pristine condition of the resort, smoking is prohibited in all guest rooms, restaurants, lunches, meeting rooms, and interior public spaces. If you smoke, you will be charged a substantial cleaning fee to return the room to its proper condition.
ATTIRE
The attire for the 2012 Annual Meeting and Exposition is business casual.
AGE POLICY
No one under the age of 18 will be admitted on the exhibit hall floor.
